Pavilion and Pergola Reservations – Frequently Asked Questions
How do I reserve the Pavilion?
To make a reservation, use our reservation system live calendar to find an open reservation slot and click it to reserve.
What is included in my reservation?
A reservation includes the Pavilion and two Pergolas for two hours, for up to 36 total attendees. Guest passes for up to 25 non-members are included. The Pavilion contains two rectangular dining tables with 6 chairs each. Each pergola has 3 round tables with four chairs each. Altogether, you will have seating for 36 people around 8 tables. The Pavilion and Pergolas are in an “L” shape as shown in this picture:
You will also have access to a propane grill that is reserved for the pavilion.
What is your cancellation policy?
If you cancel or reschedule at least 7 calendar days before your event date, we will refund the deposit and reservation fee, or credit it towards rescheduling. The credit card processing fee is non-refundable. Rescheduling and cancelling can be performed using our reservation system.
What if it rains?
If thunder or lightning close the pool 30 minutes before your event or occurs during the first 30 minutes of your event, you have the option to cancel your reservation for refund of the reservation fee and security deposit. On a case-by-case basis, inclement weather forecasted for the entire day will warrant pool closure and event cancellation. You can also reschedule your event. Same-day rescheduling is not guaranteed. Refunds are not available for rain without a pool closure, or thunder/lightning more than 30 minutes into your reservation. However, your reservation cannot be moved to the Cafe Pavilion.
If I do not need the Pergola spaces, can I reserve the Pavilion at a lower price?
For 2025, we are only making the entire space available for reservation to eliminate conflicts between co-occurring parties or events. Of course, if you do not need the entire space, you do not have to use it.
How soon before my event can I begin to set-up? When do I need to finish clean-up?
For a two-hour reservation, you will have access to the Pavilion and Pergola space 30 minutes ahead of time to begin set-up. You will also have 30 minutes after the conclusion of your reservation for clean-up. For example, if you have booked a reservation from 11:30 AM to 1:30 PM, you will have access to the space starting at 11:00 AM to start setting up, and you will have access to the space from 1:30 to 2:00 PM to clean up.
If there is no one booked before my event, can I set up early?
No, seats and tables in the Pavilion or Pergola cannot be held without a paid reservation. If decorations or personal effects are in the space outside of the designated reservation and setup/cleanup times, they may be removed and discarded.
If there is no one booked after me for the rest of the day, can I stay in the Pavilion or Pergola after my reservation ends?
You must use the 30 minutes after your reservation to clean the space and vacate the Pavilion. You and your guests are welcome to stay at the pool for the of the day. However, in fairness to all other members of the pool, the Pavilion and Pergola space must be made available for everyone to use, especially if there is no confirmed reservation after yours.
Can we use additional tables, lounge chairs and dining chairs for my event? What if I want more than 36 attendees?
The maximum seating capacity for the Pavilion and Pergola space is 36 chairs. You and your guests are free to use any furniture they wish along the pool deck, but no additional furniture may be moved into the Pavilion/Pergola space or reserved. The tables and dining and lounge chairs adjacent to the Pavilion cannot be reserved and are not part of any event reservation.
I am only inviting 5 non-member guests. Can I use my other guest credits for another day?
No. To eliminate administrative workload, we are not issuing guest credits for reservations and parties cannot increase the number of non-member guests above 25 by buying additional guest passes. For non-members to be admitted the pool on the day of your event, all they need to do is provide their name to be matched against your guest list.
When do I need to provide a final headcount? How do my guests check in?
A list of no more than 25 non-member attendees must be provided one week before your event. Your non-member guests will provide their name at the check-in booth and will be provided with a wristband if wristbands are being used that day. Children under the age of 10 will be required to take a swim test to access deep water areas. Attendees of your event who are members of Wildwood Pool can head directly to your party.
I want a longer event. Can I book two back-to-back reservations?
In fairness to all, families will be limited to one Pavilion/Pergola reservation per summer. If utilization indicates more availability, this policy may change.
I’m hosting a children’s birthday party. Do parents count towards my guest limit?
Children under 10-years-old must be supervised by an adult or responsible guardian at least 16-year-old at all times. (We recommend no fewer than 1 adult per 4 children under the age of 10.) Please note that all attendees at your event, including babies, parents and non-swimmers, count towards the 36-attendee limit and 25-non-member limit.
Can I decorate with balloons, streamers or a pinata?
Yes! Be sure to use painter’s tape, masking tape, or string to affix all decorations so as not to damage the paint and wood structures. Nails, tacks, cellophane tape, and staples are prohibited. Remember that all decorations and litter must be discarded at the end of the decoration. Any costs to repair damage to the Pavilion or Pergola will be deducted from the security deposit.
Can I order pizza and have it delivered? Is there any restriction on food or beverages?
You can order or bring any food or beverages you desire. Food deliveries can be made to the pool — just provide our address: 10235 Hatherleigh Drive. You will also have access to a propane grill; tools can be borrowed from the pool office. You can also order catering from Wildwood Café. However, no glass containers or bottles can be brought onto the pool property. Not just glass beer bottles — glass includes increasingly popular food storage containers, mustard jars and baby food. Transfer these items to plastic containers before coming to the pool. Glass creates an invisible hazard that can close the pool for up to a week.
Can I request certain music or no music?
We can turn off the speakers in the Pavilion/Pergola. If you notify us in advance, we can put together a Spotify playlist for the entire pool PA system (or just your Pavilion/Pergola space) during your reservation.
It looks like no one reserved the Pavilion tomorrow. Can I use it for a last-minute party?
Seven (7) days advance notice is required for any new reservation. No last-minute reservations are accepted. If the space is not reserved on a given day, it is available to all members first-come, first-served. Please note that without a paid reservation, tables and chairs in the Pavilion or Pergola cannot be “saved,” just like any other deck furniture at the pool cannot be “saved.”
